Privacy notice for member groups and regular users
Why do we need your personal information?
Member groups
We need at least one named contact person and their contact details (telephone number and/or email and a postal address) in order to keep your group informed about the Annual General Meeting and other occasional news about the Resource Centre.
When members of your group approach the Centre for support, we will also take their contact details, so that we can communicate with them about that support work.
We use Mailchimp to send out notices about the Annual General Meeting. Therefore your contact details will be stored securely by mailing list provider Mailchimp. Your details will not be shared with other third parties. For information about how Mailchimp store and process personal data, see their privacy policy. Emails we send you via Mailchimp will always include an “unsubscribe” link, which you can click to be removed from the list.
We store this data on the basis of legitimate interest, as we cannot run our services without it.
If your group hasn’t used any Centre services for four years, we will delete all contact details we have on file for people in the group.
Monthly account holders and regular print users
We need a named contact person and their contact details (telephone number or email address) if we have agreed to invoice your group monthly or if we provide regular printing services (e.g. a regular newsletter).
We store this data on the basis of legitimate interest, as we cannot run our services without it.
If your group hasn’t used any Centre services for four years, we will delete all contact details we have on file for people in the group.
Other frequent users of the Centre
We may store your contact details if you ask us to, for your convenience when making future bookings.
This data is stored on the basis of consent.
If you haven’t used the Centre for four years, we will delete your contact details.
How do we use your information?
We do not share your personal information with anyone, and we do not use your personal information for any other purpose than in relation to your group’s use of Resource Centre services.
Updating and access to your information
Please tell us if your information is incorrect, or if you would like your information removed from our records.
If you would like to know what personal information we hold about you, contact us by email or by sending us a request in the post.
Become a friend of the Resource Centre
We do find it helpful to be able to contact some of our users occasionally to ask for comments, or ask if you would be willing to send a letter or email in support of the Resource Centre’s work. If you are happy for us to contact you for this purpose, please become a Friend of the Resource Centre.
